# Open Space guide for PyLadies Conference 2025

## What's an Open Space?

An Open Space is a dynamic, self-organized session where attendees come together to discuss topics, collaborate on projects, learn new
skills, or just networking in a welcoming and inclusive environment.

## Who can join or lead an Open Space?

If you're planning to attend PyLadiesCon 2025, you're welcome to participate in or facilitate an Open Space session! This is
your chance to share knoweldge, ask questions, or discuss about topics that intrigues you with fellow conference attendees.

## How to organize an Open Space?

To help us manage the logistics of the Open Spaces better, we kindly ask you to send as an email ([email protected]) if you're planning on leading one during

We should be clear of what we wanted to know about in the email.
Shouts we ask them to write about: Open Space title, Time when it will happen, and short description?

Actually, could we just ask them to create a PR with the open space information, instead of writing email to us? If we approve it, we'll merge the PR.

(I addressed your other comments, but I will not mark this resolved until we decide on the mechanism of submitting)

Open Spaces and activities needs to be added to Pretalx, so they are displayed in the schedule, so even if they do a PR to announce it, we need to do the manual work of adding it to pretalx.

What can help this is that the Open Spaces needs to be submitted before the conference starts, otherwise we need to do new schedules releases in the middle of the conference, that could break the bot that announce activities.

Plan B could be that we don't display this 'activities & open space' track in pretalx, and we keep this as a self-organized set of activities on the website without the bot announcing them.

If we're gonna put things on Pretalx, could we ask people to submit to pretalx directly? Eg open up the CFP with just the "Open Space" session available.
Just trying to reduce copy-paste from one place to another.

the conference. We won't be approving or rejecting any Open Spaces as long as they align with our Code of Conduct.


## Where will the Open Spaces take place?

We'll set up dedicated voice (and optional video) channels in our Discord server for the Open Spaces. This way, everyone can easily join
and participate from anywhere they're comfortable.
