We should be clear of what we wanted to know about in the email.
Shouts we ask them to write about: Open Space title, Time when it will happen, and short description?

Actually, could we just ask them to create a PR with the open space information, instead of writing email to us? If we approve it, we'll merge the PR.

(I addressed your other comments, but I will not mark this resolved until we decide on the mechanism of submitting)
Open Spaces and activities needs to be added to Pretalx, so they are displayed in the schedule, so even if they do a PR to announce it, we need to do the manual work of adding it to pretalx.
What can help this is that the Open Spaces needs to be submitted before the conference starts, otherwise we need to do new schedules releases in the middle of the conference, that could break the bot that announce activities.
Plan B could be that we don't display this 'activities & open space' track in pretalx, and we keep this as a self-organized set of activities on the website without the bot announcing them.

If we're gonna put things on Pretalx, could we ask people to submit to pretalx directly? Eg open up the CFP with just the "Open Space" session available.
Just trying to reduce copy-paste from one place to another.
