Summary

Adds a per-course Mailing feature: a sidebar item that opens a campaign overview and a composer for emailing students by phase and status, with saved, reusable, trackable campaigns.

Details

Backend (servers/core/courseMailing)

  • New course-scoped module under /api/courses/:uuid/mail-campaigns (create/list/get/update/copy/delete, recipient preview, test-send, send, resend-failed). Editors can draft; only lecturers/admins can send.
  • Migration 0026 adds mail_campaign + mail_campaign_recipient (status enums). Recipient rows store only a snapshot email plus the per-recipient outcome; student names join live to student (no duplicated student data).
  • Async sender: bounded worker pool, atomic send-guard (409 on concurrent send), zero-recipient guard (422), CC/BCC sent once (not per student), resend-to-failed re-resolving placeholders live, and crash reconciliation on startup. The target phase is validated against the campaign's own course (prevents cross-course targeting). Reuses the existing mailing SMTP/placeholder code via thin exported wrappers.

Frontend (clients/core)

  • New Mailing sidebar entry + routes; an overview table (status badges, recipient counts, metadata, row actions) and a composer (phase + multi-status select, shared EmailTemplateEditor with placeholders, recipient preview, per-campaign reply-to/CC/BCC overrides, test-send, send-with-confirmation). Replaces the unused MailingConfigSidebar.

Testing & docs

  • Go testcontainers suite (CRUD, copy, send edge cases, concurrency 409, zero-recipient, resend, CC/BCC-once, cross-course rejection, role gating).
  • Playwright spec plus a mailpit mail catcher wired into docker-compose.e2e.yml; the spec asserts delivery.
  • docs/user/mailing.md extended.

Reason / Link to issue

Provides a way to email the participants of a course. Closes #1733.

How to Test

  1. cd servers/core && go test ./courseMailing/...
  2. make lint && make test
  3. make test-e2e — full suite including the mailing spec (asserts delivery via mailpit).
  4. Manual: open a course → Mailing → New mail → pick a phase + statuses → preview recipients → Test send → Send.

Summary by CodeRabbit

  • New Features
    • Added course-wide mailing campaigns for creating, editing, copying, previewing, testing, sending, and tracking emails.
    • Added recipient selection, status tracking, delivery results, and retrying failed recipients.
    • Added campaign status indicators, recipient previews, confirmation dialogs, and campaign management actions.
    • Added Mailing to the course management navigation.
    • Restricted campaign management and sending actions based on course permissions.
  • Documentation
    • Added guidance for configuring and using course mailing campaigns.

Add a per-course Mailing sidebar item with a campaign overview and composer:
select a phase + student statuses, write the body in the shared mail editor
with placeholders, preview recipients, save/copy/edit/delete drafts, test-send,
and send with confirmation. Sends run asynchronously with per-recipient status
tracking (pending/sent/failed), CC/BCC sent once, resend-to-failed, and crash
reconciliation on startup.

Backend: new servers/core/courseMailing module (course-scoped routes + auth),
migration 0026 with mail_campaign/mail_campaign_recipient tables, and sqlc
queries. Frontend: courseMailing pages/components/hooks/network. E2E: Playwright
spec plus a mailpit mail catcher wired into the e2e stack. Docs updated.

Tracks #1733.

The role tests exercise a stand-in middleware.

enforceRoles is defined in the test file. buildEngine injects it in place of the production permission middleware. The tests therefore verify that setupCourseMailingRouter passes the intended role list, not that the real middleware rejects the editor. State that limitation in a comment so a later reader does not treat TestEditorCannotSend as end-to-end authorization coverage.

Two behaviors have no test.

ReconcileStuckCampaigns and TestSend are not covered. ReconcileStuckCampaigns runs at startup and rewrites campaign state, so a regression there corrupts status silently. A test can flip a campaign to sending, leave a pending recipient, call ReconcileStuckCampaigns, and assert the campaign becomes failed and the recipient carries the restart error message.

Do you want me to generate these two tests?

Marshal errors silently drop overrides.

marshalReplyTo and marshalMailItems return nil when json.Marshal fails. The campaign is then stored without the reply-to, CC, or BCC override, and the caller receives no error. Marshal cannot fail for these plain structs today, but the silent path hides future regressions. Return the error, or log it.

expandStatuses duplicates the accepted-status list from validateStatusValues.

Both functions enumerate "all", PassStatusPassed, PassStatusFailed, and PassStatusNotAssessed in servers/core/courseMailing/service.go and servers/core/courseMailing/validation.go. A new pass status requires two edits, and a missed edit produces an inconsistent accept/reject boundary. Extract one shared set and derive both checks from it.

course_participation_id has no foreign key.

mail_campaign_recipient.course_participation_id is a bare uuid. ListCampaignRecipientsWithStudent LEFT JOINs course_participation, so deleted participations produce recipient rows with empty names. If the snapshot must survive participation deletion, this is intentional; add a short comment stating that. If not, add a foreign key.

Check the Mailpit response status in both helpers.

clearMailpit ignores the DELETE result. getMailpitMessages calls response.json() without checking response.ok(). If Mailpit returns an error page, the parse fails and the test reports a JSON error instead of the real cause.

Assert the status so a Mailpit failure produces a clear message.

The phase name is hard-coded.

The contenteditable locator depends on editor internals.

Add a way to clear the course phase selection.

Pull request overview

This PR introduces a new course-scoped mailing campaign feature to PROMPT 2.0, adding backend APIs + persistence for reusable campaigns and a new core management UI (overview + composer) with e2e coverage via Mailpit.

Changes:

  • Backend: add /api/courses/:uuid/mail-campaigns CRUD + preview/test/send/resend endpoints, campaign sending logic, and DB schema/sqlc support.
  • Frontend: add course sidebar “Mailing”, management routes, campaign overview table + composer UI, and client-side networking/hooks/types.
  • Testing & docs: add Go testcontainers suite + Playwright spec with Mailpit integration, and extend user docs.

  • Send is enabled for course editors even though the backend restricts /send to lecturers/admins. Add a role-based guard so Send is disabled (or hidden) unless the user is a course lecturer or global lecturer/admin.

  • Compute a sender permission flag (lecturer/admin) and use it to gate resend actions in this overview. Without it, editors can trigger resend and only see a generic failure toast after the backend returns 403.

…g-feature

# Conflicts:
#	clients/core/src/managementConsole/layout/Sidebar/InsideSidebar/InsideCourseSidebar.tsx
Security & correctness:
- Return a generic 500 instead of leaking wrapped DB error text
- Log recipient row IDs instead of student email addresses (PII)
- Reject CR/LF in the subject to prevent mail header injection
- Validate CC/BCC/reply-to override addresses at create/update time
- Use ShouldBindJSON so the handler owns error mapping (no double 400)
- Validate campaign requests at the service boundary, not only the router
- Render {{coursePhaseLink}} in the CC/BCC archive copy
- Report the dispatched mail count from SendCampaign
- Default CORE_HOST to an absolute URL (http://localhost:3000)
- Document @failure responses on all handlers and regenerate the API spec

Frontend:
- Gate Send/Resend on the send role (editors can no longer trigger a 403)
- Distinguish "0 recipients" from an unresolved preview in the send dialog
- Invalidate the recipient preview cache after a campaign update
- Add an accessible name to the CC/BCC remove button

Docs:
- Point mailing configuration to the Settings entry

Wait for recipient-preview refetches before enabling confirmation.

When targeting changes, the cached preview remains available while the invalidated query refetches. Since isPreviewLoading is false during this refetch, isRecipientCountKnown can expose the stale count. Track isFetching and require recipientPreview before marking the count as known.

The per-microservice sharding (#1968) landed after the CSV import spec
(#1961) without claiming tests/api/application-import.api.spec.ts, so the
shard-partition check fails ("not covered by any shard"). Add it to the
core shard alongside the other application API specs.

The main merge added 0026_audit_log, colliding with the mail campaign
migration also numbered 0026. Duplicate versions make golang-migrate fail
on startup, so server-core never came up and every e2e shard timed out.
Renumber to 0027 and add the matching down migration to follow the
current convention.

Remove the redundant recipient index.

UNIQUE (campaign_id, course_participation_id) creates an index with campaign_id as its leading column. It already supports lookups and joins by campaign_id. The explicit single-column index adds duplicate storage and write overhead.

Proposed cleanup
- CREATE INDEX idx_mail_campaign_recipient_campaign ON mail_campaign_recipient(campaign_id);

rappm added 5 commits August 18, 2026 20:28
Trim the reply-to override email before checking whether it is blank,
so a value like " " is rejected the same way an empty string is.
Add composite foreign keys so a campaign's target phase and a
recipient's participation are pinned to the same course_id at the
schema level, not just validated in the service layer: unique
(id, course_id) constraints on course_phase, course_participation,
and mail_campaign back new composite FKs from mail_campaign to
course_phase and from mail_campaign_recipient to both mail_campaign
and course_participation. mail_campaign_recipient gains a course_id
column populated on insert.
SendCampaign had no guard against a campaign that already reached a
terminal sent state; clicking Send again re-mailed every currently
matching recipient, not just newly added ones. Require the campaign
to still be a draft before dispatching a send; resending failed
recipients or sending to a wider audience now requires resend-failed
or a fresh copy of the campaign.
GetCampaignRecipientMailingInfoByIDs re-resolved failed recipients by
participation ID only, unlike the initial send query which also
filters by pass status. A recipient whose status changed away from
the campaign's target statuses between the failed send and the resend
was still re-mailed. Filter the resend query the same way the initial
send does.
sendArchiveCopy built its placeholder map from a zero-value
participant row, so {{firstName}}/{{lastName}} rendered blank and
{{studyDegree}} rendered the literal word "Unknown" in the CC/BCC
archive copy. Add CoursePlaceholderValues, which only fills in the
course-level placeholders, and use it for the archive copy so student
placeholders are left untouched instead of filled with fake values.
rappm added 8 commits August 18, 2026 20:37
computeCampaignStatus returned Sent whenever failed==0, so a batch
left entirely pending (e.g. after the stale-pending cleanup step
failed) was reported as fully sent despite nothing having gone out.
Only report Sent when sent>0 and failed==0; treat sent==0 as Failed
regardless of how many recipients are still pending.
Course mailing sends dispatch through a detached goroutine after the
HTTP request already returned, so a misordered or failed mailing
init previously surfaced as a nil-pointer panic far from its cause.
Return a plain error from validateMailInputs instead.
runCampaignSend created a 30-minute context but never checked it:
sendOne stripped cancellation via context.WithoutCancel before use,
and the SMTP send path takes no context at all, so the dispatch loop
ran unbounded regardless of the timeout. Check the context before
dispatching each recipient and stop launching new sends once it has
expired; already-dispatched sends still finish, and any recipients
left undispatched are caught by the existing stale-pending cleanup.
resolveSettings wrapped GetCourseMailingSettingsForCoursePhaseID's
error with a plain fmt.Errorf, so a pgx.ErrNoRows (target phase not
found, e.g. deleted concurrently) fell through to the router's
default branch and returned an opaque 500 instead of a 400.
InitCourseMailingModule called ReconcileStuckCampaigns synchronously,
so every server boot waited on a full DB scan for stuck campaigns
before the router could start accepting requests, even when there was
nothing to reconcile. Run it in the background instead.
TrySetMailCampaignSending returning zero rows was always mapped to
ErrSendInProgress (409), even though zero rows can also mean the
campaign no longer exists (deleted concurrently between the earlier
read and this update), which should surface as 404. Extract
trySetCampaignSending, which re-checks existence within the same
transaction to tell the two cases apart, and use it from both
SendCampaign and ResendFailed.
Replace two em dashes introduced by this feature with colons, and
condense a two-line explanatory comment in bindCampaignRequest to one
line, matching the project's comment-density convention.
A send dispatches on the server and can run for a while, but the
client invalidated its queries once on the initial 202 and never
refetched again, so the overview and detail views showed a stale
"sending" status and recipient counts for the whole duration. Poll
both queries every 4s while a campaign's status is "sending", and
stop once it reaches a terminal state.

Add an index on (course_participation_id, course_id) to mail_campaign_recipient. The existing unique index already supports campaign_id lookups. The participation cascade foreign key has no supporting index and can scan the table during deletions.

(EDITOR_ROLES matches the branch's admin/lecturer/editor permission set).

Renumber the mail campaign migration to 0028, since main claimed 0027 for
optional course phase inputs.

Follow main's mailing query rename by switching the courseMailing placeholder
helpers to GetParticipantMailingInformationByIDsRow.
Saving a targeting change invalidates the recipient preview, but React Query
keeps the cached result readable while it refetches. isLoading is false in that
window, so the send dialog presented the previous count as final and let it be
confirmed. Gate on isFetching and on the data actually being present.
The participation composite foreign key had no supporting index, so deleting a
course participation had to scan mail_campaign_recipient. The separate
campaign_id index it replaces was redundant with the
UNIQUE (campaign_id, course_participation_id) index.
